Terms
Terms of use and ordering
These terms cover using this website and ordering from us. We’ve written them ourselves, in plain language, because we’d rather you read them than skim past them.
They sit alongside your written quote. If the two ever disagree about your particular job, the quote is the one that governs it.
Who we are
Vicandyls is a small maker business run by Vicky Ferraro and Dylan in Westerly, Rhode Island. We make candles, favors, custom signs and seating charts, personalized drinkware, shirts and totes. We install balloon work, and we rent backdrops.
We work across Rhode Island and nearby Connecticut. Orders can be picked up in Westerly, delivered locally, set up and taken down on site, or, for eligible custom orders, shipped within the US.
Everything goes through hello@vicandyls.com. That’s where to write about anything on this page.
Using this website
The photographs, words and designs on this site are ours. Please don’t copy them, republish them, or use them for your own business without asking first. Asking usually works — write and tell us what you’d like to use and what for.
Please also don’t scrape the site, or use it in any way that stops it working properly for everyone else.
We keep this site as accurate as we can, but it’s a working site for a small business rather than a catalog. The photographs show work we’ve already made, not a fixed list of what’s available today.
Quotes and orders
- Nothing on this website is an offer for sale. It describes the kind of work we do.
- Sending the inquiry form is an inquiry, not an order. Nothing is charged and no date is held.
- We’ll come back to you with questions, and then with a written quote covering what we’d make, what’s included, and what it costs.
- A quote stays a quote until you accept it in writing. Until then nothing is booked, and we may quote the same date to somebody else.
- Your order is confirmed once you’ve accepted the quote in writing and completed whatever that quote asks for to secure the date.
Custom and personalized work
Anything carrying a name, a date, a monogram or a particular spelling comes to you for approval before we make it. Please read the proof properly — spelling, dates, names, and the way it’s laid out. What you approve is what we make.
Personalized work can’t be sold to anybody else, so an approved proof is the point of no return on the wording.
Handmade things vary. Wax, wood, paint, vinyl and natural materials all behave a little differently batch to batch, and colors look different on a screen than they do in a room. Small variations are part of handmade work rather than a fault. If we think something won’t come out the way you’re picturing it, we’ll say so before we make it.
Changes once we’ve started
Tell us as early as you can. Before a proof is approved, most things are easy to change. Once a proof is approved and a piece is in production, some changes stop being possible and others mean starting the piece again.
Ask, and we’ll tell you honestly what can still be changed, what it would involve, and whether it moves the price.
Prices and payment
We quote every project individually. Scale, materials, how many pieces there are, where it’s going and whether we’re installing it all move the number, which is why there’s no price list on this site.
Your quote covers what’s written in it. Delivery, installation and takedown are quoted with the job. Ask us about your venue and we’ll tell you whether it’s within the area we cover and what it would cost.
What we ask for up front and when the balance is due are set out in the paperwork that goes out with your quote.
Cancelling and postponing
Plans change and events move. Tell us as soon as you know, because what can be adjusted depends almost entirely on how far along the work is and how close the date is.
The notice we need, and what happens to anything already paid or already made, are set out in the paperwork that goes out with your quote.
If something goes wrong at our end — illness, a supplier failing us, a piece damaged on the way to you — we’ll tell you straight away rather than at the last minute, and we’ll work out with you how to put it right.
Rentals
Rented pieces stay ours the whole time. You’re borrowing them, and while they’re with you they’re your responsibility. That covers damage, breakage, marks and staining, missing parts, and getting them back to us.
Please don’t repaint, re-cover, drill, glue or otherwise alter a rental, and please don’t pass it on to somebody else to use.
Some backdrops are photographed styled up with balloons, florals, bunting or lettering. That styling isn’t part of the rental unless your quote says it is.
Return dates, and how we handle anything damaged or missing, are set out in the paperwork that goes out with your quote.
Delivery, installation and setup
Where we’re installing on site, we need safe access, somewhere to work, and enough room in the venue’s schedule to do it properly. Please make sure whoever runs the venue knows we’re coming and what we’re bringing.
We can only install what the site safely allows. If we arrive and the space, the surface, the weather or the access won’t take a piece safely, we’ll say so and work out the best alternative with you there and then, rather than putting up something we don’t trust.
Once we’ve handed over or finished installing, looking after the pieces is down to you and the venue — including anything guests, weather or pets do to them.
For anything we ship, the method and the timing are confirmed with your quote.
Candle safety
Our candles are decorative goods for household use. A burning candle is an open flame, and once one is in your hands, burning it safely is down to you.
- Never leave a burning candle unattended.
- Keep the flame away from children, pets, curtains, paper, dried florals and anything else that catches.
- Burn on a stable, heat-resistant surface. Containers get hot.
- Trim the wick before every light, and stop burning when there’s about half an inch of wax left.
- Never move a candle while it’s lit or while the wax is still molten.
There’s fuller guidance on Candle Care, including how to get a good first burn. If a candle comes with a label giving its own instructions, follow the label.
Favors get handed to people who weren’t there when you ordered them. If you’re giving candles out at an event, please pass the safety guidance on with them.
Photographs of your work
We photograph what we make. Those photographs are how this website exists, how people find us, and how the next person works out whether we can make the thing they’ve got in their head.
So unless you tell us otherwise, we may photograph your order or your installation once it’s finished, and use those pictures here, in our portfolio and on social media.
If you’d rather we didn’t, just say. Before the day or after it, either is fine, and it changes nothing else about your order. If a photograph of your work is already up and you’d like it taken down, email us and we’ll take it down.
Designs, and other people’s rights
When we design something for you, the artwork and the layout stay ours. What you’re buying is the finished piece and the right to use it for your occasion. We don’t sell design files, and we don’t license artwork for you to reproduce or resell, unless we’ve agreed that in writing.
If you send us artwork to work from — a logo, a photograph, a monogram, a line of a song, a character — you’re telling us you have the right to have it made. If that turns out not to be the case, that sits with you rather than with us.
We may turn work down. Usually that’s because we don’t think we can make it well. Sometimes it’s because we don’t think we can make it legally.
What we can’t promise
We’re two people making things by hand, and we’d rather be plain about what that means.
This website is provided as it is. We don’t promise it will always be available, always be up to date, or always be free of mistakes.
We don’t advise on your venue, your other suppliers or your event beyond the work we’re doing for you, and we aren’t responsible for what another supplier does.
Limits on our liability
If we get something wrong we want to put it right, and the first thing to do is tell us.
Beyond that, and as far as the law allows: our responsibility for any order is limited to what you paid us for that order. We aren’t responsible for indirect or knock-on losses — lost profit, or the cost of the rest of an event, for example.
Nothing here limits anything that can’t legally be limited, including responsibility for death or personal injury caused by our negligence, or for fraud.
Governing law
These terms, and any order made under them, are governed by the laws of the State of Rhode Island, and any dispute goes to the courts of Rhode Island.
Changes to these terms
We’ll update this page as the business changes. The version on this page when you accept a quote is the version that applies to your order, so if you want a copy of it as it stood on the day, ask and we’ll send you one.
The date these terms were last reviewed is at the bottom of this page.
Getting in touch
Email hello@vicandyls.com. We reply within two business days.
If something on this page doesn’t fit your job, say so before you accept the quote and we’ll settle it in writing. We’d far rather have that conversation early than late.
